Employee Packing Tips

  • To minimize the cost of the move, the exact location of every item of furniture should be established in advance for you on a floor plan. Know the dimensions of your new space beforehand and if everything is going to fit. There is no use packing and labelling items there will be no room for, such as that extra little filing cabinet.

  • Generally, you will be responsible for packing your own work space and any other areas which have been assigned to you. Here are some tips to keep in mind:

    • If items are not to be moved or if equipment and furniture are to be discarded, be sure to tag them with "Do Not Move" labels to eliminate extra expense.
    • Throw away as much garbage as possible before moving day. The more useless and out-dated items you discard, the less you will have to pack. Make sure that nothing important gets thrown away.
    • All items to be moved should be labeled with the appropriate colored sticker and department and employee number you have been assigned so your items are placed directly in your new work area by the movers.
    • Standard file cabinets can generally be moved with the contents intact. Make sure they are either locked or securely fastened using string or heavy packaging tape.
    • Storage cabinets, lateral files, wall units, cupboards, bookshelf and bookcase contents should be packed in moving cartons. Lock or tie all cabinet doors.
    • Lock all Security Files before moving. Contact a member of the Supervisory Team if security regulations require escorts and that will be taken care of for you.
    • If you have been assigned to pack library, file room or storage area contents, contact a member of the Supervisory Team to find out if these are best moved on book carts to save time and packing materials.
    • If you have been assigned to pack the Lounge or Kitchen, remove all items from the vending machines and empty water from the water dispenser. Label all furniture and boxes properly.
    • All loose items should be packed up prior to move.
    • Do not pack boxes too full or over-flowing. Use an extra box instead.
    • Seal tops of boxes with tape.
    • Place labels, color code, department and employee numbers on all sides of box only because labels can not be seen when boxes are stacked.
    • Packing Your Desk:
      • Keep in mind that desks are likely to be turned on end to fit through doorways, etc.
      • Desk top paper and items should be removed from desks and placed in moving cartons.
      • Items should be removed from desks prior to the move and packed in cartons. Use small envelopes for pencils, paper clips and other small items.
      • Glass desk tops should be marked separately and left on the desk.

    • Label large framed pictures and maps and leave on the wall. Take down small pictures and unframed posters and pack in boxes.
    • Plants and other personal items should be moved by their owner. Large potted plants can be moved by the mover at the owner's risk. The Mover is not responsible for moving any personal possessions.
    • Packing Large Equipment:
      • Make arrangements with the technician in advance of the move date for equipment which requires special handling or pre-move preparation.
      • Contact the rental company prior to moving day. They may want to move rental equipment themselves.
      • Disconnect and dismantle computers properly. The cords should be coiled, fastened with rubber bands and labeled. If you do not know how to do this properly, make sure you have notified a member of the Supervisory Team well ahead of time so a knowledgeable person can be assigned to do this for you.
      • Remove powdered ink cartridges from photocopiers.
      • If equipment has Loose Parts or Dismantled Attachments, label and securely fasten or label and pack parts and attachments in a properly labelled box. Loose items can easily get lost.

    Final Checklist:

    • Breakable items properly packed
    • Computers and other machines disconnected and/or packed
    • Desk empty and labelled
    • Desk pads, chair and chair pads labeled
    • Supply cabinets cleared and locked
    • Large file cabinets cleared and locked
    • File drawers locked
    • Take any keys with you
    • Small wall items and posters packed
    • Large wall items labelled properly
    • All boxes taped and properly labelled
    • "Do Not Move" tags placed
